Recruitment Administrator

When one thinks of the role of an Administrator they often visualise invoicing, bill payments, banking, book-keeping, management and maintenance of the office database and numerous lunch runs. But, take a look into “A Day In The Life Of A Recruitment Administrator” and I’m sure you’ll agree the title barely covers the many and varied tasks that can make for a very interesting time.

8.30am

Arrive at work after a delightful 40 minute tube ride. An experience everyone should start their day with. I’m sure many office managers would agree as most commuters are wishing they were already at work 10 minutes into the start of their journeys.

Check emails and messages. Make sure there is no news from back home. Reply to any messages.

9:00am

A quick tea and coffee run. No office can start the day without a good caffeine fix.

Attend to invoices. Chase outstanding invoices, make bill payments, do any banking, process payroll etc. Typically summarised as ‘Accounts Duties’.

12:00pm

Update our candidate database. Filing and storage of all candidate files.

Approx 1:00pm

Lunchtime. Although snacking throughout the day is also a favourite pastime of office staff.

1:30pm to 5.30pm

Ad hoc administrative duties…Sourcing leads, checking availability, placing/tracking orders, making contact with candidates. This is where a typical office support role becomes exciting. Although not strictly limited to the afternoons. Many additional tasks are carried out throughout the day as required.

Meeting and greeting candidates: this is a great opportunity to get to meet new people. I have been known to like a good chinwag and I’m sure it helps candidates feel more at ease when they come in for interviews as it can be rather intimidating for some. This duty takes up a substantial part of the day. Keeping track of interview times and scheduling the day’s tasks around these keeps things running smoothly.

Web Site updates: here you can show a little bit of creative flair. Definitely breaks up the day.

Organising presentations, lunches and seminars: as someone who loves to organise events this is a great task. It is a great feeling when you spend weeks organising a seminar to see it all come together and to know that the people who attended enjoyed themselves. Once again, it’s a great opportunity to be imaginative, to be distinctive in a day that would otherwise consist of paperwork and number crunching.

As you can see, a day in my life never follows the same routine. At any moment a new task can present itself (and it usually does). Making sure that all office requests are met is just part of my job spec. Making sure the team here is comfortable doesn’t need to be requested.
